ABOUT THIS PROJECT
POS Report Tool is an excel macro-enabled workbook that allows you to generate reports and distribute them to a targeted audience in seconds! We designed the tool for the accounting department of the distribution business. Our client struggled with the manual effort put into generating and distributing monthly sales reports to the manufacturers. The client estimated monthly time savings of around 4 hours per month.
PROBLEM
Our client is a distributor of electronic components. One of the requirements for distributors is reporting monthly sales and the inventory that we still have in stock. This way, manufacturers know what and where their product has been selling. They and also pay commission to their reps based on the data collected.
As the company distributes products from over 30 different manufacturers, generating these reports was very time consuming, tedious, and prone to error. They needed to create each report separately, save it, attach it manually and send it to the proper contact person. So, nothing complicated, highly repetitive, and very boring. On average, the accountant spent 4-5 hours a month performing this task.
SOLUTION
We created an excel spreadsheet with the code working behind the scenes. The code breaks down consolidated sale report as well as inventory report into smaller reports for each manufacturer. The entire process takes 5 minutes, no matter how many reports we need to generate or how many people we have on a distribution list. The tool is easy to implement and maintain and does not require coding skills to add/remove people from the distribution list or change the e-mail settings.
RESULTS
It is estimated that the tool saved around 4 hours of manual labor each month. Also, reporting became error-free and consistent from one month to another.
